IMS: Filters and Downloads
This article explains how to narrow the list of invoices with filters, and how to download your results.
Filters
Filters help you find the invoices you need, even when there are thousands. Use Select Criteria to add a filter, choose or enter a value, and apply it. If you add the same filter twice, you see “Duplicate filter”. If a filter does not apply to a category, you see “This filter cannot be applied for [category] category”. For example, Purchaser Return Period does not apply to IMS Only, and Supplier Return Period does not apply to Purchaser Only.
The filters you will use most are:
- Counterparty GSTIN (you can enter several at once), Invoice/Note Number, and the invoice date range, to find specific invoices or suppliers.
- Difference filters for tax, taxable value and invoice value. Each shows the invoices within plus or minus the value you enter.
- Current Month 2B, Supplier Filing Status and Supplier Return Period, to see which invoices will reach this month’s GSTR-2B.
- Draft Status, Status at GSTN, GST Submission and Is Pending Action Blocked, to see what is saved, what is waiting to be saved, and what is blocked.
- Advance Reconciliation Rule and Match Type, to see which rule matched an invoice and how.
- Purchaser Return Period, Plant Code, Internal Reference Number and Assigned User, to organise the work inside your team.
The full list is in the Select Criteria drop-down. The totals for invoice value, taxable value and tax amounts on the screen update for the filters you apply, across the categories you select.
Download results
You can download the reconciliation result for a GSTIN. At business PAN or legal PAN level, you can download it in bulk for several GSTINs at once. The download keeps your actions and comments, so you have a record of what you decided.
Do this before you fetch IMS data again. Once GSTR-3B is filed, accepted and rejected invoices leave IMS, so they are no longer there after your next fetch, while pending invoices stay.
