IMS: Prepare Your Data and Get IMS Data

Reconciliation needs two sets of data for the same GSTIN: your purchase register (2P) and the IMS data from the GST portal. This article explains how to get both ready.

Upload your purchase register (2P)

Your purchase register is the record of the invoices you have booked from your suppliers. Upload it for each GSTIN as described in the Upload Purchase Register (2P) guide, and fix any upload errors before you reconcile.

Get your IMS data

GET & Action IMS lets you fetch IMS data and take action on it directly, without reconciliation. It is the route for sections that are not currently available for reconciliation, such as the import sections (IMPG, IMPGA, IMPGSEZ and IMPGSEZA). Fetch the data, download it in Sovos format, mark Accept, Reject or Pending in the file (with remarks, and ITC reduction values where they apply), upload the file, and save to GSTN. The file steps are described in the article “GET & Action IMS: Action Data”.

To fetch your IMS data, open Reconciliation > IMS Based Purchase Recon > GET & Action IMS. This opens the IMS DATA FETCH screen, which has three tabs: Get Data, Action Data and Saved to GSTN. You fetch your data on the Get Data tab.

  1. Select the PAN and the GSTINs (up to 90), and then the sections. All 12 sections are preselected: B2B, B2BA, CN, CNA, DN, DNA, ECOM, ECOMA, IMPGSEZ, IMPGSEZA, IMPG and IMPGA. A section name that ends with the letter A, such as B2BA, holds amended documents.
  2. Select Add. Each GSTIN and section pair appears in the request list, so you can check exactly what you are about to request. Duplicates are ignored, and Remove All clears the list.
  3. Tick Merge data across GSTINs if you want fewer files. Each fetch produces CSV files, one per GSTIN and section (B2B, B2BA, CN and so on). With Merge ticked, you get one CSV per section covering all the selected GSTINs. You can open the files to review the data.
  4. Select Get. If some requests are not valid, you see a List of Invalid Requests and a List of Valid Requests. Select Submit Valid Request to fetch only the valid ones, and fix the others before you try again.
  5. Open the Request History tab to follow your request. It shows who made the request, the return type, when it was requested and last updated, its Status, and its Enrich 2A Status. A request that finishes with errors shows “Processed with error”. Use the eye icon to view the details, and the download icon to download the files once a request is complete.

Things to know before you fetch

You cannot fetch data for a GSTIN while a reconciliation is running for it. The screen shows “Reconciliation is in progress”, or the error “IMS Reconciliation is currently in progress”. Wait for the reconciliation to finish, and then fetch again.

If you have actions that are not yet saved to the GST portal, a warning titled Unsaved Actions Detected appears. It tells you that unsaved actions will be lost when new data is received and reconciliation is performed again. Choose Proceed with Fetch if you accept that, or Cancel to go back and save your actions first.
