IMS: Review Results in IMS Recon Result

IMS Recon Result is where you review every reconciled invoice and act on it. You can work on up to 90 GSTINs at once, and you can look at the results in summary form or invoice by invoice.

Open your results

  1. Go to Reconciliation > IMS Based Purchase Recon > IMS Recon Result.
  2. Select up to 90 GSTINs and the sections, and then select Proceed. If you have selected a single GSTIN in the hierarchy, you land directly on the reconciliation results page.
  3. If some of the GSTINs have no reconciliation records, you see the message “The request is invalid as no records are present in the reconciliation for the selected GSTINs.” Follow the link to the Perform Reconciliation page to run reconciliation for them, or proceed with the GSTINs that are valid.

The five tabs

The results page has five tabs. Each one is built for a different part of your work.

TabWhat you use it for
Summary ActioningSee counts and values by section and category, and act on a whole category at once.
Invoice ActioningWork through invoices one by one, in the Matched, Open and Mixed Invoices views.
ITC Reduction ActioningHandle credit notes and amendments that can reduce your ITC.
Save to GSTNReview a summary of your actions and save them to the GST portal.
LogsCheck Save History, Bulk Mail History and De Link History.

On the Summary Actioning and Invoice Actioning tabs, a note reminds you that invoices eligible for ITC reduction are not shown there. Use the ITC Reduction Actioning tab to see and act on them. You can also switch the unit in which figures are shown, and view the page in full screen.

Summary Actioning

This tab shows your reconciled data by section (B2B, and credit and debit notes) and by category: Match, Deemed Match, Value Mismatch, Invoice Mismatch and IMS Only. You can select a category, select all its invoices, and then mark Accept, Reject or Pending in bulk. This is the quickest way to deal with a large number of invoices.

An information pop-up on this tab suggests a routine: accept the Match category, and review the other categories invoice by invoice. Use Table Settings to choose which fields to show. To look more closely at a category, select the icon next to its name. That opens the same category in Invoice Actioning.

Invoice Actioning

This tab lists invoices one by one, so that you can check each invoice against its counterpart before you act. It has three views, each with its own categories:

  • Matched Invoices holds Match, Deemed Match, Invoice Mismatch and Value Mismatch.
  • Open Invoices holds IMS Only, Purchaser Only and Original SO Amended.
  • Mixed Invoices holds invoices that you linked yourself using Force Link or Multi Linkage.

The table has these columns, and you can show or hide them in Table Settings:

  • Taxpayer GSTIN, Counterparty GSTIN and Name, Section, and Invoice No.
  • Invoice Value, Taxable Value and Tax Amount, shown As per IMS and As per 2P, with the Difference Tax Amount (IMS minus 2P).
  • Reconciliation Category.
  • Status at GSTN and Remarks at GSTN, which show what is saved on the GST portal now.
  • Draft Status and Draft Remarks, which show the action you have marked but not yet saved.
  • User Comments and GST Submission, which shows whether an action is saved, to be saved, or in error.
  • Current Month 2B?, which tells you whether the invoice will be in this month’s GSTR-2B.

You can show 10, 50, 100 or 200 invoices per page. The header shows the total number of invoices and how many you have selected.

A filed invoice appears in the current month’s GSTR-2B if the supplier filed by the GST deadline: the 11th for monthly GSTR-1 filers and the 13th for quarterly filers. The Current Month 2B? column shows one of four values:

Current Month 2B? valueWhat it means
Filed – Will appear in current 2BThe supplier filed within the GST deadline, for the current or the previous period.
Filed – Will appear in next 2BThe supplier filed after the GST deadline.
Not Filed – Might appear in current 2BThe supplier has not filed GSTR-1 yet, but the deadline is still ahead.
Not Filed – Won’t appear in current 2BThe supplier has not filed GSTR-1 and the deadline has passed.

ITC Reduction Actioning

This tab holds credit notes with related amendments, downward amendments of invoices, and debit notes whose original documents you have accepted. These documents can reduce the ITC you are eligible for, so they are handled separately. A pop-up appears the first time you open the tab, explaining this and asking you to choose an ITC reduction type when you accept. Like Invoice Actioning, this tab has Matched, Open and Mixed Invoices views.
