Missouri Releases 2023 W-2 Electronic Reporting Direction

Missouri has released “Missouri Employer Reporting of W-2s Instructions and Specifications Handbook.”  The document provides direction on how to prepare and file electronic W-2 records with the state.

The document has change significantly in presentation, however the electronic specifications for filing W-2s with the state has not changed.  Missouri generally follows the federal standard but also mandates some minor changes to the RV state total record for this form.  Those modifications have no changed with the update.

The document details information on how to file W-2 records with the state as there are some new processes.  Notably, the document now states that third-party filers now need to obtain a EFW2 submission account to file on behalf of others.  Requests to obtain a EFW2 submission account must be emailed to elecfile@dor.mo.gov with the responsible person’s name, company, email address, and phone number.

The document also provides step-by-step work instructions for using Missouri’s W-2 upload system.

The document provides specific directions for when a record previously provided requires correction.  When a correction is required, the filer must email elecfile@dor.mo.gov and provide the confirmation number and/or file name.  When resubmitting a file, the whole file must be resubmitted as though submitting it for the first time.  However, corrections to box 17 (state income tax) require paper W-2Cs and an amended MO-941 annual return to be filed with the state.

There is a new address for submitting paper W-2s to Missouri (paper W-2s are still by end of February)
